There is a version of the loan application process where you submit a form, wait a week, receive a request for one more document, send it, wait again, and eventually get a decision that was never really in doubt. And there is a version where you assemble everything first and get an answer in a day.

The difference between them is almost entirely preparation. This checklist covers what to gather, what each item is actually used for, what changes depending on the product, and the specific gaps that cause most of the delay borrowers experience.

The core documents everyone needs

National ID

Identity verification is the first step of any regulated lending process. A clear copy of both sides, matching the name on every other document you submit. Where a name differs — after marriage, or where a logbook carries an older spelling — flag it at the start rather than letting it surface as a mismatch later.

KRA PIN certificate

Required for the tax and compliance side of any formal credit facility in Kenya. It is a document most people can retrieve from the KRA iTax portal in a few minutes, and one of the more common things to be missing on the day.

Evidence of income

This is the document that actually decides your application, and it is worth taking seriously. The lender is answering one question: does money arrive regularly enough, and in sufficient amount, to support this instalment alongside your existing obligations?

Recent bank statements are the standard form. If you are self-employed or run a business, business account statements or M-Pesa statements showing consistent trading flows do the same job. Payslips work for salaried applicants but are not the only acceptable proof. Supply a continuous period rather than a selection of good months — gaps invite questions.

Contact and address details

A working phone number and email you actually check, plus your physical or business address. A surprising number of applications stall because the applicant missed the call confirming a detail.

What each product adds

Logbook loans

The original logbook, in your name, free of any existing charge. Valid comprehensive insurance. Asset finance

A proforma invoice or quotation from the supplier for the equipment being financed, details of the supplier, and evidence of how the asset will be used and what it will earn. Refinancing

A current statement for the facility being refinanced and a settlement figure from the existing lender — the exact amount that closes the account, including any early settlement charge. The checks worth doing before you apply

Confirm the logbook is in your name. If a vehicle was bought recently and the transfer has not completed, that is the single most common reason a logbook application cannot proceed. Start the transfer before you start the application.

Check your insurance has not lapsed. Comprehensive cover must be current for the term, and renewing it is faster to do now than mid-application.

Know your credit position. You are entitled to check your own record with a licensed credit reference bureau. If something is listed that you have settled, resolving it beforehand removes a question that would otherwise pause your file. Our guide to building good credit in Kenya covers how.

Why applications actually get delayed

Very few applications are held up by the lender deliberating. They are held up by gaps: a logbook still in a previous owner's name, insurance that expired last month, statements covering three months when six were requested, a vehicle that has not been brought in for valuation, a phone that goes unanswered when verification calls.

Every one of those is fixable in advance and none of them is a decision about your creditworthiness. How to submit

You can apply online and upload documents, or bring them to our office at Rehema Place, Office Suite D24, Ngong Road, Monday to Friday 8:00am–5:00pm and Saturday 9:00am–1:00pm. Once submitted, you can track your application at each stage rather than calling to ask where it has reached.

Send clear, complete scans or photographs — every page, right way up, nothing cropped. It sounds trivial. It is responsible for more re-submission requests than any other single factor.

Frequently asked questions

What documents do I need to apply for a loan in Kenya?

At minimum: your national ID, your KRA PIN certificate, evidence of income such as recent bank statements, and the documents relating to whatever secures the loan — for a logbook loan, the original logbook in your name plus valid comprehensive insurance and the vehicle available for valuation.

Can I apply without payslips?

Yes. Payslips are one form of income evidence, not the only one. Business bank statements, M-Pesa statements showing consistent business flows, invoices, contracts or rental income records all serve the same purpose, which is to show that money arrives regularly enough to support the instalment.

Why do loan applications get delayed?

Almost always because the file is incomplete: a logbook not yet transferred into the applicant's name, insurance that has lapsed, bank statements that do not cover the requested period, or a vehicle that has not yet been presented for valuation. None of these are decisions — they are gaps, and closing them before you apply is the fastest thing you can do.

Is there a fee to apply?

No legitimate lender in Kenya asks for money before approval. Fees are deducted at disbursement or billed at drawdown. A request to send money to a personal mobile-money number before approval is one of the most common lending frauds in the country.

Do I need a guarantor?
